HOA BOARD MONTHLY MEETING

Board Member Rich Roberts called the meeting to order at 7:26 p.m

OLD BUSINESS
The October 13 2022 and October 25 2022 BOD monthly meeting minutes were approved and have been posted.
Tom Dean, one of our community members, presented many new features of the web site he developed for Prides Crossing. He has been greatly appreciated as he developed this entire site as a community service, lending his considerable expertise free of charge to the HOA. It is a beautiful site with many very exciting features..
There are currently 100 members in the HOA #4 community who are in arrears for their payments to the HOA. There are 10 people who overpaid their dues, and Rich is working with the new accountant, Carl, to rectify this situation. Overpayment of dues can not be collected or accepted as there is no funding option available to shelter this extra money.
NEW BUSINESS
Steve Ramer was approved unanimously by the BOD as a Board Member and has accepted and been approved as the Architectural Chairman.
Samuel McMechan,Esq., Attorney, Owner McMechan Law, LLC and Elena Loutchiano, Paralegal, McMechan Law, LLC presented to the group to represent the community as a new attorney for the Prides Crossing #4 HOA. After the presentation, and the regular meeting began, the Board discussed and approved McMechan Law, LLC as the new legal representation. The BOD has approved the appointment of the new legal firm unanimously.
Mary discussed checks that have been received, and the amount so far is approximately $10,000, which is an excellent collection effort. We have received five checks to be identified as to who sent them. The accountant will send out invoices on overdue payments that include the $5.00 late fees. Please contact the BOD with concerns. As there were several checks received that we were unable to identify, please let us know if yours was among them. There were seven bills for the dues returned as undeliverable, and Mary is working with the accountant to locate the correct addresses to resend to the correct addresses.
The monthly Budget Report will be posted online on a regular basis to provide better visibility to the community members to our financial status.
Rich requested a scanner/all-in-one printer for the Treasurer, which will make downloading the financial records into the system much more efficient. The board approved unanimously the purchase of a scanner/printer all-in-one for $300.00.
The Board approved laying aside our insurance payment until new and less expensive options have been explored, which we have been informed by the attorney is an acceptable practice. The board unanimously agreed.
There was a general discussion regarding a community meeting in February, 2023. We will be creating a postcard to send out to the community and will be offering light refreshments. Please keep a look out for that postcard in January two weeks prior to the meeting date..
There was a unanimous vote not to hold a BOD monthly meeting in January 2023. We will be making all February meeting arrangements in December. Dates for the community meeting were discussed, and Friday was proposed at 6:00 p.m. Linda to contact Sam McMechan regarding his meeting date availability. Rich proposed that Steve attends a free Webinar for information regarding HOA architectural committees.
Our attorney will review the Documents and Covenants for authorization. There is a possibility that nothing has been authenticated. There was a discussion about organizing the web site to ensure all documents are visible and are authenticated.
There was a unanimous vote to hold a meeting in December. The meeting will be on the 2nd Thursday, December 8 at 6:30 p.m. The meeting room TBD at Smoky Hill Library.
